Meet Format, Info and Critical Dates

MEET FORMAT
AM and PM Sessions / Events / Heats / Deep and Shallow Ends / Volunteer Shifts
The format is the same as last year. The Championship Swim Meet is divided into two Sessions. The AM Session is for all 8&unders and 9-10’s. It starts at 6:30 am and runs about 5.5 hours, including warm-ups. The AM Awards Ceremony is scheduled to start at about 12:15, depending on when the races end. The PM Session is for swimmers 11 and older and runs about 4.5 hours, starting with warm-ups at 1:00. The Full Awards Ceremony will be at the end of the meet, at about 5:45.

Events
The Events are the same as for a Dual Meet and are run in the same order.

Heats
Within each Event, the order of heats is reversed. Instead of seeding the fastest times first and ending with the slowest, as for the Dual Meets, the heats at Champs are seeded to start with the slowest times in Heat 1 and end with the fastest seeds in the last heat. (Remember, swimmers in any Heat are eligible to score points!)

Deep and Shallow Ends
The IVC Pool will be divided into two short courses of 9 lanes each. Half of the Events will be run at the “Shallow End”, and the other half will be run at the “Deep End”. The details are listed in the “Approximate Timeline of Events”. See below.

Volunteer shifts
Halfway through each Session there will be a short break so that teams can change Timers, Lane Marshals etc. It will be the responsibility of each Team’s Volunteer Coordinator to schedule his or her team’s Volunteer shifts and manage the substitutions during the meet.

Volunteer Jobs
Over 600 Volunteers will be needed for this event. Your team’s Volunteer Coordinator is already at work, lining people up for these important jobs.

  • Best to volunteer for when your kids are swimming; e.g., 10&under parents in the morning, 11&Up parents in the afternoon. All day Volunteers have more choice. Name tags will be provided.
  • We’re depending on you! Read the job descriptions, check your calendar and talk to your Volunteer Coordinator before you commit.
  • Set-up help is especially needed. Anyone with experience handling meet set-up and equipment may volunteer to help prep the pool on Thursday and Friday before the meet.

NOTE ON PARKING AT IVC | IMPORTANT! Details on Parking Page
This year there will only be 300 parking spaces available at IVC. This is even fewer spaces than last year. Please make sure that every parent on your team is aware of the parking procedures. All AM Session families are asked to leave promptly at the conclusion of the Morning Awards Ceremony, if they are not staying for the PM Session. All Afternoon-only families should arrive no earlier than 12:30 pm.

New this year: Champs email address. Any general inquiries suggestions or comments from the league membership at large may be directed to mslchamps@gmail.com. A volunteer will be monitoring the inbox to direct the message to the appropriate resource. Allow one or two days for a reply.

July 9 – Thursday

  • 2:00 – 5:00pm: Equipment drop off and Check in (See Equipment list for details)
  • 4:00 – 9:00pm: Set-up

July 10 – Friday

  • 5:00 – 9:00pm: Final Set-up (desks, timing systems, & final preparations)
  • 7:00 – 9:30pm: Final equipment testing
July 11 – Saturday
  • Championships – Let the Games Begin!
  • 8&Unders and 9-10’s in the AM, followed by all other age groups in the PM.
  • See the site map for which end of the pool each age group will be swimming and note the approximate timeline of events.
  • Awards ceremonies for individual 8&Unders and 9-10’s at approximately 12:15 pm. Final Awards Ceremony at approximately 5:45pm.
  • Take-down – It’s not just two four-letter words at the end of a very long day!
